Email and calendar sync

Connect your Google account to bring email conversations and calendar meetings into the CRM. Helpin matches messages and events to your contacts, so each record shows its real history. Use this page to connect a mailbox, check its sync, and choose what Helpin imports.

Connect your mailbox

  1. Go to Settings → CRM → Email & calendar. You can also select Email settings on the CRM → Emails page.

  2. Under Connected accounts, select Connect Google.

  3. Sign in to Google and approve access.

Helpin shows Google account connected. Your first import has started. The first import brings in email history for the period your workspace has chosen, then Helpin keeps checking for new activity automatically.

Each mailbox belongs to the person who connected it. Other CRM users can read its synced conversations, but only the owner can reply from it.

Check sync status

Each connected account shows its status, such as Importing email history, Synced with the last sync time, Sync paused, or Sync needs attention. Select Manage to open the account's details, where you can:

  • Select Sync now to check for new activity, or Reimport history to import older history again.

  • Select Disconnect to stop future syncing. Existing email and calendar activity stays in the CRM.

  • Select Reconnect Google to resume a paused or disconnected account.

  • Select Delete data to permanently remove the mailbox's synced emails and calendar events. Only CRM admins can do this.

For your own mailbox, the same page also lets you set an Email signature and view Sending limits.

Choose what Helpin imports

CRM admins can set these workspace-wide preferences. Select Save changes when you finish.

Email filter

Blocklist excludes matching addresses; Allowlist syncs only matching addresses. Add address or domain patterns below it.

Internal activity

Include or exclude email and meetings where everyone uses your company domain.

Private meetings

Whether to include events marked private.

Solo meetings

Whether to include events with no other participants.

Create contacts

Never, Selectively (for outbound email and meeting participants), or Always (for every email and meeting participant).

Blocked email prefixes

Prevent automated addresses, such as noreply@, from creating contacts.
