Gmail and Google Calendar integration
Connect your Google account to bring your email conversations and upcoming calendar meetings into Helpin CRM. After you connect, you can see email history on contacts and deals, and send and reply through Gmail without leaving Helpin.
Each person connects their own Google account. What gets synced becomes CRM activity that your workspace can use.
Before you start
You need permission to edit CRM records. Members, Admins, and Owners can connect an account; Viewers can't.
Changing workspace-wide sync preferences requires an Admin or Owner.
Helpin supports Google accounts (Gmail and Google Calendar). Microsoft accounts are shown as Soon and can't be connected yet.
Connect your Google account
Open Settings and, under CRM, select Email & calendar. You can also find the Connected accounts card at the bottom of your Profile settings.
Select Connect Google.
Choose your Google account and review the permissions on Google's consent screen.
Approve the request. You return to Helpin and see Google account connected. Your first import has started.
If you cancel on Google's screen, Helpin shows Google connection was cancelled. and nothing is connected.
Permissions Helpin requests
Google permission | Why Helpin needs it |
|---|---|
Read your Gmail messages | Import email conversations into CRM |
Send email on your behalf | Send and reply to CRM emails from Helpin |
Read your calendar | Show upcoming meetings in CRM |
Helpin also asks for offline access so it can keep syncing in the background.
What gets synced
Email: the first import brings in recent history (90 days by default), then Helpin checks regularly for new messages. Emails are matched to CRM contacts, and contacts can be created automatically depending on your settings.
Calendar: events from your primary calendar, from the past day to 30 days ahead, appear in CRM Meetings.
Manage a connected account
In Connected accounts, select Manage next to an account to open Email & calendar sync. From there you can:
Sync now to check for new activity immediately.
Reimport history to import email history again.
Disconnect to stop future sync, or Reconnect Google if the account is disconnected.
Delete data (Admins only) to remove synced email and calendar data. CRM contacts and deals remain, and this can't be undone.
When you disconnect, existing CRM email and calendar activity stays available.
