Meetings and notetaker
Helpin's notetaker can join your customer calls, record them, and turn the conversation into a transcript, decisions, and action items. Use this page to turn on meeting notes, choose which calls Helpin joins, and review what it captured.
The notetaker joins calls with a Google Meet, Zoom, Microsoft Teams, or Webex link.
Turn on meeting notes
A CRM admin must enable meeting notes first. Other members can view these settings but can't change them.
Go to Settings → CRM → Meeting notes, or select the settings icon on the Meetings page.
Turn on Enable meeting notes.
Set the Notetaker name that other attendees see.
Choose a default for Automatically join:
Only meetings I choose
Meetings with external attendees
All eligible meetings
Choose whether to Save meeting recordings so video and audio are kept for playback.
Choices you make for a recurring series or a single meeting override the default.
Choose which calendar calls Helpin joins
Connect Google Calendar first. See Email and calendar sync.
Go to CRM → Meetings.
Under Upcoming, find the call. Each call shows its next time and how many external attendees it has.
Turn on Auto-join for a single meeting, or Auto-join series for a recurring series. Select Show dates to change individual occurrences of a series.
Add a meeting manually
On the Meetings page, select Add meeting.
Enter a Meeting title and paste the Meeting URL. Helpin shows Link detected when it recognizes the platform.
Turn on Join now to start capturing right away, or set a Scheduled start.
Choose whether to Save meeting recording.
Add the meeting.
Review a meeting
Finished meetings appear under Meeting history. Open one to see:
Section | What it contains |

Transcript | A speaker-attributed transcript with timestamps. If a recording is saved, select a timestamp to play from that moment. |
Recording | Video or audio playback, when recordings are saved. |
Capture details | The meeting's visibility, recording type, and participant count. |
Notes appear after the transcript is processed. From the meeting page you can also Start capture, Stop capture, or Retry processing when capture needs attention.
Turn action items into tasks
Under Action items, find the item.
Select Change destination to choose the Team and workflow State for the new task.
Select Create task. Helpin creates a project task for the follow-up.
Select Dismiss to remove an action item you don't need.
