CRM permissions
Two things decide what someone can do in the CRM: whether they have access to the CRM module, and their workspace role. Use this page to give people CRM access and to understand what each role allows.
Give people access to the CRM
Workspace owners and admins always have CRM access. Everyone else needs to be granted access, either through a team or individually.
Go to Settings → Workspace → Module access.
Find the CRM card.
Under Teams, select Add teams to give every member of a team access.
Under Members, select Add members to give access to individual people.
To remove access, remove the team or member from the card. You need permission to manage module access to change these settings.
What each role can do
Once someone has CRM access, their workspace role sets what they can do.
Role | In the CRM, they can |
|---|---|
Workspace viewer | View contacts, companies, deals, activities, meetings, signals, and pipelines. |
Workspace member | Everything a viewer can, plus create, edit, and delete records; log activities; connect their own mailbox and send email; manage meetings; and approve or dismiss suggestions. |
Workspace admin | Everything a member can, plus the admin settings listed below. |
Workspace owner | Everything an admin can. |
Admin-only CRM settings
These settings require CRM admin access, which workspace admins and owners have:
Create, edit, and delete pipelines and stages. Members can still view them. See Deal pipelines and stages.
Change meeting notes settings. See Meetings and notetaker.
Set workspace email sync preferences and delete a mailbox's synced data. See Email and calendar sync.
Configure deal automation, signal routing, and signal rules. See Deal automation settings.
Create and publish Playbooks.
Other permissions that affect CRM work
Linked tasks: creating or linking a project task from a CRM record needs permission to edit projects, and you must belong to a team. See Linked tasks.
Mailboxes: you can read synced conversations from any connected mailbox, but only the person who connected a mailbox can send from it.
Playbook automation: connecting a Playbook to automation also requires access to the Automation module and permission to manage automations.
If you can't see a CRM page or a button is unavailable, ask a workspace admin to check your module access and role.
