Invite team members
Helpin works best when your whole team is in the same workspace. Inviting someone gives them a workspace role, access to the modules they need, and a place on the teams they work with.
Workspace administrators and owners manage members and invitations.
Before you invite
Decide three things for each person:
Their workspace role — what they can do.
Their module access — which modules they can see.
Their teams — which teams' work they belong to.
Choose a role
Role | What they can do |
|---|---|
Viewer | Read content, without editing. |
Member | Read and edit, and publish internally. |
Admin | Everything a member can do, plus administration settings. |
Owner | The same capabilities as an admin. |
Give people the lowest role that lets them do their job. For example, an external contributor who only needs to read documentation can be a Viewer. Each module documents exactly what each role can do there — see Docs access & sharing for Docs.
Choose module access
Projects and Docs are available to every member. Module access decides whether a person also gets CRM, Support, and Automation. Admins grant these modules to a team or to an individual member; owners and admins always have every module.
Support teams usually need Support.
Sales teams usually need CRM.
External contributors who only read documentation need none of them.
If someone isn't granted CRM, Support, or Automation, that module doesn't appear in their navigation, whatever their role. See Module access control.
Invite people
Invitations are a workspace-wide change, so you send them from workspace Settings, not from a team's settings. Invite each person by email and choose their workspace role. You can change a member's workspace role later from the same place.
Add new members to teams
Once people have joined, add them to the teams they work with:
Open Settings and choose Teams.
Select the team.
Add the workspace members who work with that team, and save.
Team membership matters. My Work shows tasks from the teams you belong to, and team-only Docs spaces are visible only to their selected teams. If someone cannot see a team's work, a workspace administrator or the team owner can add them. See Teams.
