Who can use and manage agents
Two things decide what a person can do with an agent: their workspace role, and the agent's team access. This page explains both, plus who owns built-in and custom agents.
What each role can do
Action | Viewer | Member | Admin or owner |
|---|---|---|---|
See agents and their runs | Yes | Yes | Yes |
Create, edit and delete custom agents | No | Yes | Yes |
Create and activate versions | No | Yes | Yes |
Start a run with Run now | No | Yes | Yes |
See and use team-limited agents outside their teams | No | No | Yes |
If you don't see New Custom Agent or the Run now action, you probably have view-only access. Ask a workspace admin to change your role. For roles across Automation, see Automation permissions and access.
Limit a custom agent to specific teams
By default, a custom agent is available to everyone in the workspace. You choose team access when you create the agent:
Go to Automation > Agents and select New Custom Agent.
In Access and work area, under Who can use this agent, choose Specific teams.
Select one or more teams.
Finish the other settings and select Create agent.
When an agent is limited to teams:
Only members of those teams see it on the Agents page and in agent pickers.
Only members of those teams can start it.
Workspace owners and admins can always see and use it.
Choose All teams instead to make the agent available across the workspace.
Access versus capabilities
Team access controls who can start an agent. It doesn't change what the agent can do once it's running. That's decided by the agent's tools, skills and working areas. Give an agent only the tools it needs, and use team access to keep specialized agents in front of the people who use them. See Agent settings reference.
Who owns built-in and custom agents
Built-in agents belong to Helpin. Helpin maintains their default version and keeps them in every workspace. You can't delete them, but you can choose which version is active. See Customize built-in agents with versions.
Custom agents belong to your workspace. Anyone who can edit automation can change or delete them, subject to team access.
Deleting a custom agent
Deleting a custom agent is permanent. If flows use the agent, Helpin tells you how many and deletes those flows too. The confirmation button then reads Delete agent and flows. To keep a flow, switch it to another agent before you delete.
