Invite and manage workspace members

Invite people, manage pending invitations, change roles, teams and module access, and remove members.

Workspace owners and admins use the Members page to invite people, change their role, place them on teams and remove them. Everyone in the workspace can open the page to see who's a member.

See your workspace members

Go to Settings > Members. The table shows each person's:

  • Workspace role, such as Admin, Member or Viewer;

  • Teams, or All teams for owners and admins;

  • Module access, and how each module was granted;

  • two-factor authentication status, shown as an icon.

Use Search members... to find someone by name or email.

Invite people

  1. Go to Settings > Members and select Invite Member.

  2. Under Emails, type one or more email addresses. Press comma, Enter or Tab after each one, or paste a list. To invite someone who's already in your organization, select Add from organization.

  3. Choose a Workspace role: Admin, Member or Viewer. See Workspace roles and permissions.

  4. Optionally, choose Teams to add them to when they join.

  5. Select Send Invites.

Each person receives an email with a link to join. If your Helpin server doesn't have email set up, Helpin shows the invite links instead so that you can share them yourself.

Invitations expire after 7 days.

Manage pending invitations

Invitations that haven't been accepted appear under Pending Invitations. Select Manage next to an invitation to:

  • Copy invite link and share it yourself;

  • Resend invitation, which also gives the person another 7 days to accept;

  • Revoke invitation, so the link no longer works.

Change a member's role, teams or module access

  1. Go to Settings > Members.

  2. Select the edit icon next to the member.

  3. In Edit member, change their Workspace role, their Teams or their Module access.

  4. Select Save changes.

Projects and Docs are available to every member. Owners and admins automatically have every module. For other members, a module shows Team access when it comes from one of their teams, or Granted directly when it was given to that person. To remove access inherited from a team, remove the person from that team.

Remove a member

  1. Select the delete icon next to the member.

  2. Confirm with Remove member.

The person loses access to this workspace straight away. Their Helpin account isn't deleted, and they keep access to any other workspaces they belong to.

Nobody can change their own role or remove themselves, and an Owner can't be removed from the Members page.
