Edit, pause and delete flows

Once a flow is running, you can change it, pause it, run it on demand or remove it. You'll find these actions in two places on Automation → Flows: the flow's detail panel (select the row) and the menu at the end of each row.

To edit, pause or delete flows, you need permission to manage automations (admins and owners by default). Members can use Run now.

Edit a flow

  1. Open the flow and select Edit flow.

  2. Change the name, trigger, filters, action, agent or target. The editor works the same way as when you created the flow.

  3. Check the Flow summary, then select Save changes.

Changes apply to the next event. Runs that have already started aren't affected.

Pause or resume a flow

  • In the detail panel, select Pause flow. To turn it back on, select Enable flow.

  • From the row's menu, select Disable or Enable.

A paused flow ignores its trigger and shows Paused under Next run. Pausing keeps all settings and history, so it's the safest way to stop a flow while you investigate a problem.

Helpin also pauses a scheduled flow automatically if its agent no longer exists. Pick a new agent under Using, then enable the flow again.

Run a flow now

You can run a scheduled flow straight away without waiting for its next scheduled time:

  1. Open the flow, or open the row's menu.

  2. Select Run now.

You'll see Flow run started. If Run now is disabled, hover over it to see why:

What to do

Run now is only available for scheduled flows. Event flows run when their trigger happens.

Wait for the event, or start the agent manually

Run now is only supported for agent flows.

Only flows that start an agent can run on demand

Complete the flow setup before running it.

Choose an agent under Using

Flow is already running.

Wait for the current run to finish

Delete a flow

  1. Open the flow, or open the row's menu, and select Delete.

  2. In Delete flow?, confirm by selecting Delete flow. This can't be undone.

If the flow was installed from a template that created its own agent, choose what happens to that agent:

  • Delete flow only – keep the agent as a regular custom agent.

  • Delete the agent too – use this only when the agent was created just for this flow.

If another flow uses the same agent, Helpin keeps it automatically.

Deleting a flow doesn't remove its past runs from Activity. If you might need the flow again, pause it instead.

Flows you can't change here

Flows marked Playbook managed belong to a CRM playbook. Select Manage in Playbook Setup or Open playbook to change them.
