Automation for CRM

CRM automation turns customer activity into signals, suggestions and follow-up work. Some of it runs in the background, some needs your approval, and you can run Helpin's CRM agent, Beacon, on any contact, company or deal.

Background CRM intelligence

Once you connect email in Settings → CRM → Email & calendar, Helpin works in the background to:

  • extract signals, such as buying intent, budget, objections, risk and timeline pressure, from CRM activity;

  • keep contact, deal and company summaries up to date.

You see the results on CRM records and on the Signals page.

Deal recommendations and approval thresholds

Helpin can suggest creating a deal or moving a deal to its next stage. Configure this in Settings → CRM → Deal automation.

Suggests a deal when corroborated activity shows buying intent.

Suggests the next stage when recent evidence shows real progress.

Direct execution threshold

The confidence a recommendation needs to be carried out without review.

Review threshold

The confidence a recommendation needs to enter the review queue.

A recommendation runs directly only when it meets the direct execution threshold and all of its supporting evidence is verified. Anything between the two thresholds waits for review. Lower-trust evidence always needs review.

Review suggestions

  1. Open CRM → Signals.

  2. Select Review suggestions.

  3. For each suggestion, check the evidence, then approve it (for example Create deal or Change stage) or select Dismiss and choose a reason.

Signal rules start in shadow mode. Under Signal activation and routing on the same settings page, review a rule version's precision, select Promote next to it, and confirm with Promote version. Only promoted rule versions can produce signals that create work.

Turn buyer signals into tasks

The High-intent buyer signal to task flow template runs Beacon on a schedule. It reviews new high-confidence buyer signals and creates follow-up tasks in Projects, adding a comment instead of a duplicate when a matching task is already open.

  1. In Automation → Flows, select Browse templates.

  2. Choose High-intent buyer signal to task.

  3. Set the Run schedule, Minimum signal confidence and Signal types to watch, and the team and state for new tasks.

  4. Install the template.

The agent it creates needs approval before each run and before it creates tasks. See Respond to approvals and questions during a run.

Run Beacon on a CRM record

  • From Automation → Agents, select Run now and choose a Deal, Contact or Company as the target.

  • In a flow, choose a specific CRM record as the target.

Playbook flows

CRM Playbooks can set up their own flows. These appear in Automation → Flows labelled Playbook managed and are changed from the Playbook, not from the flow editor.
